Booking, Deposit, Payment, Cancellation & Refund

1. New Bookings

1.1. Each booking must have true and accurate full passenger names as per passport/legal & valid document of identity issued by the respective Government, and all persons including children’s ages, as some restrictions or reductions or supplements may apply.

1.2 The passenger name entered in the booking first, will automatically be assigned as lead name. The lead name will appear on all correspondences (e.g. vouchers, confirmations, invoices, itineraries etc.). The lead name can’t be modified after booking the service.

1.3 All bookings will be handled on first come first served basis

1.4. All bookings, when the cancellation deadline is passed, will thereupon automatically be legally bound as guaranteed by the client under the passenger name (s) given.

2. Modification of bookings before cancellation deadline

2.1. The name can’t be modified

2.2 Principals like hotels & other accommodation providers, airlines, cruise companies, and railways etc., have a strict policy in place and will not accept name changes. If any modification is required, then a new booking must be made at prevailing rates and the difference between the old and the new prices, along with cancellation charges and service fee, if any, shall be collected from the clients

3. Modification of bookings after the cancellation deadline

3.1 In case of any increase or extension of the booking. No modification will be allowed. A new booking must be made

3.2. The cancellation policy and the prevailing rates and the service fee of the concerned bookings will apply

4. Cancellation of booking

4.1 Tour Packages

If any client or group members want to cancel the tour due to any unfortunate reason, the client may be liable to pay cancellation charges. The cancellation charges will depend on the timing of cancellation with respect to the tour start date as summarized below

4.2 Non – refundable deposit includes all payments demanded by hotels and other suppliers. Amount of deposit will be determined as per payment guidelines of hotels and other suppliers.

 

4.3 Above mentioned cancellation charges will be superseded by hotel’s or other supplier’s cancellation terms, as applicable.

4.4 Airline / railway ticket cancellation charges shall depend upon their prevailing cancellation policy, which is subject to change. In addition to the cancellation fee, a nominal service charge shall also be levied by ‘The Company’.

4.5 In case of only hotel booking made, a minimum cancellation charge of 1 night will apply for each booked room. During high season, festive seasons, blackout dates, 100% of the room charges shall be applicable as cancellation fee

4.6 All cancellations must be made in writing by the person who made the booking and shall be effective on the day we receive it.

4.7 In extraordinary circumstances if clients cancel a service directly, they must be able to supply written evidence from the service provider. Such a cancellation is no guarantee for a full refund and charges from service providers might still apply in addition to cancellation fee charged by PRAD Travels & Hospitality Pvt Ltd.

5. Deposit & Payment:

5.1. Land cost of package-For the services contracted, 25% advance payment for land cost of the package must be made to hold the booking on a confirmed basis and balance in 2 tranches as 29 days, 14 days before the tour starts

5.2 Airline/Railway Tickets, Visa and Travel Insurance- 100% advance payment required

5.3 If booking for any services is for peak season/festive season/blackout dates-100% advance payment required at the time of booking

5.4. If the tour starts within 30 days-100% advance payment required for all the services.

6. Refund Policy

5.1 PRAD TRAVELS & HOSPITALITY PVT LTD does not take any responsibility to make any refund on deposit to the clients until the same has been received by us from the principals. If payment of the tour is through Credit Card charge then the contract is irrevocable, if there is any

5.2. Refund, if any, will be made in Indian Rupees only in India, as per the conversion rate prevailing at the time of refund.

5.3 Refunds for partially used services can be made only on the basis of a written evidence obtained by the client from the service provider confirming the refund permissible for a service. A service fee shall be applicable over and above the refund amount.

5.4. All refunds will be made after deducting the non-refundable deposit as well as the applicable cancellation fees & service fee

5.5. All refund claims must be sent by email to ops@pradthpl.com within 30 days from the service date. All documents supporting the claim must be submitted to ‘The Company’ within the above deadline.

5.6. All refunds will be made by either cheque or wire transfers. No refunds will be made by cash.
